Ready Kids is a Brisbane-based occupational therapy clinic. We work with childcare centres to share OT ideas and strategies that help educators support children's development.

About the role
We're looking for a sharp, proactive Administration Assistant to keep our day-to-day running smoothly. You'll be the friendly point of contact on the phone and emails and the go-to person who keeps the team organised behind the scenes.
This is a remote role, ~15 hours per week, worked flexibly within school hours.
It's a varied role for someone who likes ticking things off, spotting what needs doing before being asked, and keeping things tidy behind the scenes. You'll work from home during school hours and stay in close contact with the rest of our small team.
What you will do
- Answer inbound phone calls warmly and professionally, directing them to the right team member when needed.
- Respond to emails and enquiries from childcare centres, educators, and parents promptly and clearly.
- Schedule and manage meetings, appointments, and travel arrangements for staff.
- Follow up on outstanding invoices and contracts with childcare centres to ensure timely payment, and keep financial and contract records accurate and up to date.
- Maintain open communication with the team to ensure everyone is informed and aligned on internal processes and ongoing tasks
- Maintain an organised and efficient workflow by proactively identifying and addressing administrative needs.
- Use GoHighLevel (our CRM) to log interactions, update contact records, and track tasks.

- Tech-comfortable - picks up new software quickly
- Fast learner - gets across our systems and service quickly
- A team player - happy to liaise with colleagues and keep everyone in the loop
- A quiet home workspace, reliable internet, and your own laptop
- Previous experience in administration, customer service, or a similar support role preferred
- Bonus: experience with childcare, early childhood education, or allied health
